Overview

In Calibr, learning resources evolve over time to reflect:

Updated processes
Regulatory changes
Improved learning design
Minor formatting or content fixes

While updating a course is straightforward, Calibr does not automatically assign updated versions to users who are in progress or have already completed the earlier version.

This is to ensure:

Learners do not lose progress or completion history
You decide who needs to revisit the updated content
Compliance and audit records remain accurate

This article explains how to manually assign the updated version of a resource to the right learners.

Note: Ensure the updated version of the resource is approved and published. Only published updates can be synchronized to learners.

Step-by-Step Guide

1. Log in to Calibr

Log in with your Admin credentials.

2. Go to the Analyze Panel and from the left-hand menu, click the option Analyze.

3. Under Analyze, select the Resources tab

4. Locate the updated resource and find the resource that has been updated.

5. Click on the resource title to open the Resource Details page

6. Use the “Synchronize All” Feature

On the Resource Details page, click the Synchronize All button

7. Configure Synchronization Settings

A pop-up window titled “Synchronize All” will appear.
If you do not want to affect learners who have already completed the course, check the option "Prevent syncing for users who have completed the course."

Note:

Leaving this box unchecked will resync the updated resource for all users, including those who completed it.
Checking the box will only resync the update for learners with an “In Progress” status.

8. Confirm Synchronization

Click Synchronize to apply the update

Calibr will update the course content based on your selection:

Either for all learners (completed + in-progress), or
For in-progress learners only

Note: The sync may take a few moments, depending on the number of learners assigned.
