1. Introduction

Purpose:

The Bereavement Leave Policy outlines the provisions and procedures for employees to take leave following the death of a loved one.

Scope:

This policy applies to all employees of the company, including full-time, part-time, and temporary employees, ensuring consistent and fair treatment in times of bereavement.

2. Eligibility

Full-Time Employees:

Full-time employees are eligible for paid bereavement leave as outlined in this policy. Eligibility is based on the employee’s status and length of service.

Part-Time Employees:

Part-time employees are eligible for bereavement leave on a pro-rated basis relative to their work schedule. The exact amount of leave will be determined based on average hours worked.

Temporary and Contract Employees:

Temporary and contract employees may be eligible for unpaid bereavement leave. Requests for leave should be submitted to their immediate supervisor or HR for consideration.

3. Leave Entitlements

Paid Bereavement Leave:

This includes spouse, domestic partner, children, parents, and siblings. 

Unpaid Bereavement Leave:

If additional time off is needed beyond the paid leave entitlement, employees may request unpaid bereavement leave. This leave is subject to approval and should be requested as soon as possible.

4. Duration of Leave

Extended Family:

For the death of extended family members such as grandparents, aunts, and uncles, employees are entitled to some reasonable days of paid leave.

Close Personal Relationships:

Employees who experience the loss of someone considered a close personal friend or significant in their life, not falling under immediate or extended family, may request bereavement leave on a case-by-case basis.

5. Procedure for Requesting Leave

Notification Requirements:

Employees must notify their supervisor or HR as soon as possible following the death of a loved one. Early notification helps in managing workloads and arranging temporary coverage if needed.

Approval Process:  

Bereavement leave requests will be reviewed by HR or the employee’s direct supervisor. Upon approval, employees will receive confirmation of their leave duration and compensation details.

6. Pay and Benefits During Leave

Compensation Details:

During paid bereavement leave, employees will receive their regular salary. The days taken will be recorded as part of the employee’s bereavement leave entitlement.

7. Return to Work

Reintegration Process:

Upon returning to work, employees may need time to readjust. Managers should facilitate a smooth transition by allowing flexible work arrangements if necessary.

Adjustments and Support:

Support may include temporary adjustments to work schedules or responsibilities. Employees should communicate their needs to their manager or HR to arrange any necessary accommodations.

8. Additional Resources

Employee Assistance Programs:

The company offers Employee Assistance Programs (EAP) which provide confidential counseling and support services to help employees cope with grief and other related issues.

Counselling Services: 

Information on available counseling services can be obtained from HR. These services are designed to support employees through their bereavement.

External Support Organizations:

HR can provide details on external organizations that offer additional support for employees experiencing grief.

9. Policy Review and Amendments

Review Cycle:

This policy will be reviewed on an annual basis to ensure it remains relevant and effective. Updates will be made as necessary to reflect changes in company practices or legal requirements.

Amendments:

Any amendments to this policy will be communicated to employees through official channels and updated in the employee handbook to ensure everyone is informed of the current provisions.
