1. Introduction

Our transportation policy defines the criteria and provisions for employee work-related travel. This policy guarantees that all modes of transportation are safe, efficient, and cost-effective, including company vehicles, public transit, and personal automobiles used for business reasons. We hope to help our staff travel smoothly and hassle-free by offering clear instructions and support, thereby increasing productivity and compliance with business standards.

2.  Purpose

 To establish criteria for the use of company transportation resources, maintain employee safety, and encourage efficient and environmentally friendly travel solutions.

3. Scope

These policies apply to any employee who uses business transportation resources, such as company automobiles, transportation allowances, or shuttle service.

4.  Company Vehicles

Employees must be permitted to possess a valid driver’s license. Authorization is based on job responsibilities and necessity. Company automobiles are used solely for business activities. Personal use is not permitted unless specifically approved.

     4.1. Maintenance: 

Employees are required to report to the transportation department for any vehicle faults promptly. The firm will do regular maintenance and inspections.

4.2. Insurance

Company vehicles are covered. Employees must follow all traffic rules and company guidelines to keep their coverage valid.

  1. Insurance Compliance: Ensure all company vehicles have proper insurance coverage to manage risks effectively.
  2. Substance Abuse Policy: Implement regular drug and alcohol testing for employees operating commercial vehicles.

4.3. Accidents

Report any accidents or damage to the HR department and insurance provider immediately. Complete all necessary documentation.

  1. Shipping Documents: These include bills of lading, invoices, packing lists, certificates of origin, and insurance certificates. They ensure compliance, ease customs clearance, and facilitate efficient logistics in both domestic and international trade.
  2. Internal Documentation: Within a company, maintain records related to vehicle maintenance, driver training, and route optimization. These help ensure vehicle efficiency and safety.

5.   Transportation allowance

Employees who use personal vehicles for business purposes may qualify for transportation allowances. Please submit complete mileage records and receipts for reimbursement. The expenses policy outlines reimbursement rates and procedures.

6.   Shuttle Services

Shuttle services may be available depending on the company’s location and employee demands. Shuttle services are for business purposes and may be subject to availability and timing.

7.  Employee Responsibilities

Compliance: When using business transportation resources, follow traffic laws, policies, and guidelines. Conduct yourself professionally when using corporate transportation. Avoid taking acts that could harm the company’s reputation or property.

8.1. Eco- Friendly Practices

Encourage people to use sustainable modes of transportation. Consider carpooling, public transportation, or cycling whenever possible.

As a result, the company can follow the following steps:

  1. Carpooling: Encourage employees to share rides whenever possible. Carpooling reduces the number of individual vehicles on the road, leading to lower emissions and less traffic congestion.

9.   Violations

9.1.   Disciplinary Actions

 Violations of this policy may result in disciplinary action, including termination. The degree and frequency with which violations are committed determine their consequences.

9.2. Recovery

If the employee resigns within( time frame) of incurring relocation fees, the cost will be deducted from the final payout.

10.  Revision and Amendments
